There are 2 modes of connections one can make to these data sources.
Live Mode: A direct link is established with the date that is contained in the data source in this mode.
Any modifications made to the data in the data source will automatically be reflected in the charts.
Benefits: We have current information. The Dashboard will always show the most recent data whenever we access the spreadsheet.
Disadvantages: Performance may suffer due to potential network delays. The charts also won't be able to load if there is a network outage. Data cannot be accessed offline.
Consider a "Live" connection as making an online purchase and paying for it with an online transaction. Consider the requirements for it.
Internet access is required (you must be online).
The Bank Server must be operational when you are carrying out the Transaction.
The payment will not be processed if the server goes down at that moment. Similar to "Live" Connection, we require a network connection in order to access data that is stored on data servers. If the server connection is lost, we won't be able to continue working since we won't have access to the data.

Or we can right click on the name of the data source and choose the option to “Extract Data”.
In this mode, Tableau will fetch a copy of the data from the data source and store it locally on our machine (we can choose the location) or on a shared folder in the organization’s network, which can then be accessed by the rest of the team.
